Privacy Notice
This notice explains how Monad handles customer, applicant, manager, document, payment and application-preparation data.
Controller
The controller is Pheon Agency Ltd, 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. Contact: help@pheonagency.co.uk.
Data collected
Monad collects account details, case facts, provider and service information, Registered Manager and Nominated Individual information, uploaded documents, payment records, audit events, generated drafts and review decisions.
Purposes and lawful bases
Data is used to provide the Monad service, manage accounts, process payments, prepare and review CQC-registration application material, maintain security, keep audit records and meet legal obligations. Lawful bases may include contract, legitimate interests, legal obligation and consent where specifically requested.
Documents, payments and AI processing
Uploaded documents may contain sensitive personal, DBS, qualification, financial and business information. Payment card details are handled by Stripe; Monad stores case-bound payment status and references, not full card details. AI processing may be used to extract information, prepare drafts and identify inconsistencies, subject to human confirmation.
Processors and transfers
Monad may use hosting, storage, payment and AI service providers. International transfer safeguards must be confirmed for configured providers before live external use.
Retention and security
Data is retained for the purposes of case preparation, audit, legal and operational needs. Closure or deletion requests are assessed so that regulatory evidence and audit records are not automatically deleted where preservation is required. Access controls, session security, upload controls and audit logging protect customer separation.
Your rights and complaints
Individuals may request access, correction, restriction, objection, portability or deletion where applicable. Complaints may be raised with the UK Information Commissioner's Office.
